There will be no refunds except for weather cancellations. Our agreement with the facility providers requires that we reserve the right to cancel games or the tournament if the fields become unplayable due to severe rain or thunderstorms.
Safety is our first priority during the tournament. We will work hard to make sure that all games are played so long as we can maintain that objective. We have three all weather fields and we will play in the rain as long as there is no thunder or visible lightning.
In the event of thunder or lightning we will halt all games in process for a minimum of 20 minutes from the last observation. Once the weather passes we will resume games. If a game is terminated due to weather during the second period, the game will be considered complete and the score at that time will be used to determine the winner.
The tournament organizers have fixed expenses that will be incurred if some of the games or the entire tournament is canceled including field rental, insurance, staffing, t-shirts and pre-event preparation of the facility.
Weather cancelation policy is as follows:
If a team has played two or more games (including partial games) there will be no refund.
If a team only plays one game (including partial games) there will be a refund or credit toward a future tournament of 25% of your paid entry fee
If all games are cancelled there will be a refund or credit toward a future tournament of 50% of your paid entry fee
If necessary, we will shorten game times to catch up on our schedule and/or move to a festival style event with no playoffs. The tournament staff has final say regarding any cancellation or change in the schedule to accommodate adverse weather. Notices regarding cancellation or schedule changes will be immediately posted on the tournament website and email notification will be sent to each head coach. It is the coaches responsibility to check the website and to ensure that we have a valid email address. We will also send text messages if you enable this choice on your registration.
The safest place for all participants during thunderstorm conditions is in your vehicle. Please vacate the premises and do not use portable tents or shelters as they will not protect you from lightning strikes.
Refunds will require a written request to be submitted not later than 30 calendar days after the event date for each team affected. No refunds will be considered after that date.
All decisions regarding cancellations, schedule modifications and refunds are at the sole discretion of the tournament Director.
